Why does process mapping matter?

Process mapping gives a team a shared view of how work moves from a trigger to an outcome. It helps people see the handoffs and waiting points that are difficult to notice when everyone is focused only on their own task. A useful map is a conversation tool, not a decorative diagram.

How to start a process map

Begin by defining the boundary. Name the event that starts the process, the result that ends it, the customer or recipient, and the person accountable for the outcome. Then invite people who perform the work and ask them to describe the normal path and the exceptions they handle every week.

What should a Singapore team capture?

  • Activities and the role responsible for each one
  • Inputs, information sources, systems, and outputs
  • Decision criteria and approval thresholds
  • Handoffs, queues, service expectations, and escalation paths
  • Rework loops, incomplete requests, and common exceptions

How to turn a map into improvement

Review the map with four questions: Where does work wait? Where is information entered more than once? Which approval or control does not match the risk? Where do people rely on an undocumented workaround? These questions identify candidates for simplification, standardisation, training, or automation.

Common process mapping mistakes

Teams often map an ideal procedure instead of the process that happens in real life. They may also make the map too detailed to discuss, omit exceptions, or stop after documenting the current state. Map enough detail to make a decision, validate it with users, and connect it to measures and an improvement plan.

Closing perspective

My process mapping approach is deliberately practical: establish a clear boundary, involve the people closest to the work, show the exceptions, and use the map to decide what should change. That method gives Singapore teams a stronger foundation for BPM and workflow automation.
